2018 TERMS & CONDITIONS

By entering the 2018 SAE ATOM Awards (‘Awards’), Awards entrants (‘Entrants’) agree to be bound by the following terms and conditions. Failure to abide by these terms and conditions may render an Entrant ineligible for the Awards, regardless of payment of any Entry Fees.

  1. Entrants must submit their entries in the following manner:

    1. Film/television/video entries must be successfully uploaded in an accepted format, as explained in point 2 (below), and submitted via the 2018 SAE ATOM Awards entry system (‘Entry System’). Entries for all but thirteen (13) Awards categories (as specified in clauses 1B and 1C below) must be submitted in this way.

    2. Entrants may submit a website, app or ebook to be judged by completing the ‘Production website’ field on Step 1 of the Entry System. Any necessary login information and/or passwords must be included in the ‘Information for Judges’ field on Step 3 of the Entry System.

      Websites are only permitted as entries into the following three (3) categories:

      • Best Educational/Training Video or Website (Primary/Secondary)
      • Best Instructional/Training Video or Website (Tertiary/General)
      • Best Indigenous Video or Website.

      Apps are only permitted as entries into the following three (3) categories:

      • Best Educational App (Primary)
      • Best Educational App (Secondary)
      • Best Educational App (Tertiary/General).

      Ebooks are only permitted as entries into the following three (3) categories:

      • Best Educational Ebook (Primary)
      • Best Educational Ebook (Secondary)
      • Best Educational Ebook (Tertiary/General)
    3. Entrants may submit a game to be judged by either completing the ‘Production website’ field on Step 1 of the Entry System (for a browser-based game) or uploading a ZIP file containing an executable game file and any other required files (if any). Games are only permitted as entries into the following four (4) categories:

      • Best Primary School Game
      • Best Middle School (Years 7–10) Game
      • Best Senior Secondary Game
      • Best Educational Game.

    Please double-check all files and information for judges before submitting your entry. If we cannot view your submission, we will be unable to judge your production.

  2. The video upload module of the Entry System works seamlessly through Vimeo and most video files should be accepted. However, if you run into any difficulties uploading your footage, Vimeo’s compression guidelines are available at https://vimeo.com/help/compression, and the ‘uploading’ section of their Help Center is available at https://help.vimeo.com/hc/en-us/categories/201496018-Uploading-to-Vimeo. Preferred formats are outlined below.

    Codec: Vimeo accepts most major video codecs, but for best results they recommend using H.264. There are a few codecs that will not work on Vimeo, e.g. Go2Meeting, Canopus HQ, and Apple Intermediate Codec.

    Resolution: Common resolutions for standard definition (SD) video include 640 × 480 px (4:3 aspect ratio) and 640 × 360 px (16:9 aspect ratio). High definition (HD) video is usually formatted at 720p (1280 × 720 px) or 1080p (1920 × 1080 px).

    Audio: The AAC-LC codec, at 320 kbit/s and 48 kHz (maximum), is recommended.

  3. To be eligible for the Awards, Entrants must complete the online entry form and submit their production as described in points 1 and 2 (above) by the close of entries: Midday AEST, Friday 1 June 2018. Entrants must also upload a minimum of three (3) still images from their production, and must finalise payment of their entry fee(s) by the close of entries: Midday AEST, Friday 1 June 2018. We recommend completing your entry submission earlier, to allow for unforeseen issues that may arise.

  4. The ATOM Awards are open to residents of Australia and New Zealand only.

  5. An Entrant may submit a production into multiple Awards categories, provided that the Entrant pays the requisite Entry Fee for each category. Details of the Entry Fees and the methods of payment are outlined on the first page of the Entry System.

  6. An Entrant may submit multiple productions into any given Awards category, provided that the Entrant pays the requisite Entry Fee for each production submitted.

    1. To be eligible for the ‘Student/unwaged’ discount entry fee rate, an Entrant must be either a full-time student or unwaged at the time of submitting their entry. If an Entrant was a student (or unwaged) at the time of production, but no longer meets this criterion, then the full entry fee rate applies.

      Entrants entering the Awards at the ‘Student/unwaged’ entry fee rate must upload proof of their entitlement, such as a copy of their current student ID or health care card, via the ‘Upload images’ tool in the Entry System. If proof of entitlement is not supplied before the close of entries, such Entrants will be charged the full entry fees rate, and an invoice will be issued for the outstanding amount at that time. Affected entries will not be eligible to proceed to judging unless this invoice is paid in full within seven (7) days.

    2. Primary and secondary schools are limited to five (5) entries or categories for the flat-rate Entry Fee of $95.00. An additional entry fee of $15 applies to each additional production submitted or category entered beyond this.

    3. Universities and film schools are limited to five (5) entries or categories for the flat-rate Entry Fee of $160.00. An additional entry fee of $35 applies to each additional production submitted or category entered beyond this.

  7. ATOM reserves the right to re-categorise entries if ATOM, at its sole discretion, considers that it is appropriate to do so.

  8. All productions entered into the 2018 Awards must have been completed between 1 June 2015 and 1 June 2018.

  9. Productions entered in previous ATOM Awards are ineligible for the 2018 Awards.

    1. ALL ENTRANTS

      1. All Entrants retain copyright in the production(s) submitted to the Awards. Entrants grant ATOM a non-exclusive, non-transferable, worldwide, royalty-free licence for five (5) years from the date of entry to:

        1. use up to five (5) minutes of the production(s) during Awards presentations and for the purpose of promoting the Awards;
        2. reproduce the Entrant’s name and photograph (if supplied) for the purpose of promoting the Awards;
        3. reproduce and communicate still images of the production(s) for the promotion and/or publicity of the Awards;
        4. publicly screen the production(s) at any event(s) held as part of the Awards, including but not limited to the Awards presentation evenings and the 2019 National Screenings Tour.

      2. Entrants in the Tertiary and General/Open categories of the Awards whose production(s) are chosen to be screened pursuant to point 11A(i)(d) will be contacted by ATOM to confirm permission to screen the production(s) before any such screening takes place.

      3. Should ATOM wish to use the production(s) submitted to the Awards other than as listed in points 11A(i), ATOM will contact the Entrant to negotiate a licence for this use.

    2. STUDENT CATEGORY FINALISTS

      Entrants in the Student categories of the Awards whose production(s) is/are selected as finalists grant ATOM a non-exclusive, non-transferable, worldwide, royalty-free licence for five (5) years to communicate, show or play in or to the public, in whole or in part, the production and to reproduce and communicate still images of the production for the promotion and/or publicity of ATOM and the ATOM Awards.

    3. TERTIARY AND GENERAL/OPEN CATEGORY FINALISTS

      1. Entrants in the Tertiary and General/Open categories of the Awards whose production(s) are selected as finalists grant ATOM a non-exclusive, non-transferable, worldwide, royalty-free licence for five (5) years to communicate a trailer for the production(s) (or up to five (5) minutes of footage if no trailer is provided) to the public via the ATOM Awards website and to reproduce and communicate still images of the production for the promotion and/or publicity of ATOM and the Awards.

      2. Tertiary and General/Open category finalists will be contacted by ATOM and given several weeks to submit a trailer for communication on the ATOM Awards website pursuant to point 11C(i).

      3. Entrants in the Tertiary and General/Open categories whose productions(s) are selected as finalists may choose to grant ATOM a non-exclusive, non-transferable, worldwide, royalty-free licence for five (5) years to communicate their production(s) via the ATOM Awards website. Finalists in these categories will be contacted by email and/or telephone to discuss this possibility once the 2018 finalists have been announced.

    4. MORAL RIGHTS

      1. ATOM will attribute the entrant as the creator of the production wherever it uses the production under the terms of this agreement. ATOM will attribute the entrant in the following format:

        Name of production;
        Name of director, producer and/or award recipient.

      2. All entrants acknowledge and consent to ATOM editing their production(s), but only for the purposes of creating a five-minute excerpt of the production under clauses 11A(i)(a) and 11C(i).

  10. Entrants are solely responsible for ensuring that all necessary copyright and other relevant rights and authorisations for their production(s) have been obtained prior to submitting their entry. If requested by ATOM, entrants must provide proof of permission for use of any third-party content for which a copyright licence is required. ATOM takes no responsibility for any failure by an Entrant to obtain the necessary authorisations.

    Entrants warrant that their productions (and any material comprising their productions, including, but not limited to, any clip) do not infringe the intellectual property rights or any other rights of any person. Entrants will fully indemnify ATOM against any loss, costs, expenses, demands or liability, whether direct or indirect, arising out of a claim by a third party or another party.

  11. The ATOM Awards judges’ decisions are final. No correspondence or discussion will be entered into regarding the judging process or any outcomes reached.

  12. Entry Fees will not be refunded.
